Job Title: Admin and Finance Assistant (Accountant)
Location: Mogadishu, Somalia
Reporting to: Senior Admin and Finance Officer.
Contract Duration: 2+ years, with the possibility of extension
Travel Requirements: Frequent travel to project locations
Job Purpose
The Admin and Finance Assistant (Accountant) is a critical role that combines financial expertise and administrative proficiency to support the implementation and sustainability of Shaqodoon’s projects across Somalia. This position ensures adherence to financial policies, enhances operational efficiency, and promotes accountability within the organization. The ideal candidate will be a strategic thinker with a deep understanding of financial systems, donor compliance, and project administration, complemented by a strong commitment to ethical and efficient practices.
Key Responsibilities
Finance
Assist in preparing and managing budgets for Shaqodoon projects, ensuring alignment with organizational and donor requirements.
Process payments, including staff salaries, vendor invoices, and project expenses, in a timely and accurate manner.
Maintain accurate financial records, including ledgers, receipts, and documentation for all financial transactions.
Prepare monthly financial reports and reconciliations, ensuring compliance with donor and organizational guidelines.
Support audits by providing necessary documentation and responding to queries.
Monitor and manage project expenditure to ensure compliance with budgets and detect variances promptly.
Handle petty cash and ensure appropriate documentation and approvals for expenditures.
Administration
Maintain and organize administrative records, including contracts, procurement files, and staff records.
Assist in procurement processes, ensuring proper documentation, vendor evaluations, and compliance with procurement policies.
Coordinate travel and logistics arrangements for project staff.
Manage office supplies and ensure smooth day-to-day administrative operations.
Collaboration and Compliance
Work closely with project teams to ensure financial and administrative support aligns with project goals.
Ensure adherence to financial and administrative policies, procedures, and donor requirements.
Reporting and Communication
Submit regular financial updates and reports to the Senior Admin and Finance Officer.
Ensure timely communication of any issues, risks, or challenges in project finance and administration.
Liaise with donors, partners, and stakeholders as required.
Qualifications and Experience
Education
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Experience
At least 2 years of experience in a similar role, preferably with an NGO or development organization.
Proven experience in financial management, budget preparation, and donor compliance.
Skills and Competencies
Strong knowledge of accounting software and MS Office (particularly Excel).
Excellent organizational and multitasking abilities.
Strong analytical and problem-solving skills.
Ability to work under pressure and meet deadlines.
Excellent communication and interpersonal skills.
Willingness to travel frequently to project locations.
